AfHEA2022: Briefing notes for Session Rapporteurs

Dear Rapporteur,

Thank you once again for your willingness to contribute to the 6th AfHEA scientific conference, which takes place from March 7-11 2022.  We are hopeful that with your support, we will have a successful conference. Kindly and carefully go over the series of guidelines listed below:

  1. Briefing note: Attached is a briefing note with all the details to consider before the conference.

 

  1. Zoom app prep: It is important to be fully prepared to handle the zoom functionalities by going over all the training materials at least 2 times before your conference session.
    1. Make sure to go over the recording of the training to fully familiarize with the technical functions of the zoom platform.
    2. Also go over the PDF version of the training slides for zoom meetings – attached

 

  1. Participant App: To participate in all sessions for the conference, kindly click on this link to the AfHEA Confex Meeting App: https://afhea.confex.com/afhea/2022/meetingapp.cgi?clearcache=1.

 

  1. Review of Uploads:
    1. Please reach out to your panelists to upload the following documents as soon as possible and to share with you to enable your adequate review.
      1. Panelist Bio (a brief background about yourself) along with a portrait/headshot image all in one document (paste the picture in the word document and save as PDF)
      2. Panelist updated abstract (if any) – already uploaded abstracts are accessible for your review

  1. Encourage panelists to upload their Bio, updated abstract (if any) and presentation, (deadline reminder: Friday 4th March 2022) via Speakers Corner: https://afhea.confex.com/afhea/2022/abstractsen/extra/index.cgi?EntryType=Paper&username=1626&password=*cookie
  2. Use the material above to prepare a standard template for reporting ahead of the meeting.

 

  1. Conference format:
    1. For the avoidance of doubt, the preferred format for this year’s conference will be moderated panel discussions instead of the traditional 15-20 minutes PPT presentations.
    2. Rapporteurs are responsible for time keeping!!!

 

  1. Session structure for sessions: Each session is one hour and fifteen minutes (1hr: 15min) long (duration for Poster sessions only is 30 mins). All sessions are in GMT by default. Poster session We encourage all rapporteurs to kindly and carefully consider this session structure:
    1. 5 mins- Introduction of presenters/panelists by moderator and brief background on the session topic
    2. 45 mins- Consists of first 20 mins presenter-led engagement (5 minutes presentation by each presenter), followed by 20 mins Moderator led Q & A with presenters/panelists
    3. 25 mins- Participant/Audience interaction and Q & A steered by moderator
    4. 5 mins- Moderator final remarks
