Call for Pre-Conference Workshops and Side Events at AfHEA’s 7th Scientific Conference

Background

The African Health Economics and Policy Association (AfHEA), in collaboration with the Ministry of Health of Rwanda, will hold its 7th scientific conference in Kigali, Rwanda from March 10-14, 2025. Pre-conference workshops and side events form an integral part of our conferences and will be held prior to the start of the main conference. Pre-conference workshops and side events can take the form of capacity/skills-building workshops, round tables, dissemination events, networking events, etc.

AfHEA calls upon organisations and individuals interested in hosting pre-conference workshops and side events to submit their applications.

The deadline for applying for the workshops and side events is September 30, 2024. Feedback on approval of applications will be communicated no later than November 30, 2024.

Schedule of pre-conference workshops and side events

All pre-conference workshops and side events will be scheduled on Monday, March 10, 2025, and Tuesday, March 11, 2025.

AfHEA reserves the right to schedule the workshops and side events on either of the dates based on the availability of rooms.    

All workshops and events scheduled on Tuesday, March 11, 2025, must end by 15:30 hrs to enable participants to attend the official opening ceremony.

Guidelines for event organisers

  • All workshops and side events will be held in-person.
  • All workshops and side events will be held in English and French (simultaneous interpretation will be provided).
  • The seating capacity for the workshops and side events will range between 30 and 70 participants.
  • The event organisers will be responsible for producing all materials required for their workshops and events.
  • The event organisers will also be responsible for publicising their workshops and side events. However, AfHEA will assist in publicising the workshops and side events to the registered conference participants.
  • All workshops and side events will have three meals provided (mid-morning coffee/tea break, lunch, and mid-afternoon coffee/tea break).

Costs for pre-conference workshops and side events

The costs for the pre-conference workshops and side events are provided in the table below and vary by the maximum number of participants.

The costs cover:

  • Room hire
  • Audio-visual equipment (projector, screen, and microphones)
  • Simultaneous interpretation
  • Technical support
  • Three meals (mid-morning coffee/tea break, lunch, and mid-afternoon coffee/tea break)
  • Administrative costs  

How to submit a pre-conference workshop and side event application

  • All applications for workshops and side events should be submitted via email at: afhea24@gmail.com and cc: conference@afhea.org.
  • The application should be in the form of a proposal containing:
    • Name of the lead event organiser(s) and their email address(es) for correspondence
    • Name of the organisation(s)
    • Workshop/event title  
    • Background information
    • Workshop/event description (topics to be covered, the structure of the event, etc.)
    • Intended audience (including calibre and number of participants, if applicable)
    • Proposed facilitators and their short bios
    • Agenda of the workshop/event
  • Applications may be made in either English or French.
  • All applications should be made by September 30, 2024.
